Why I Made This

Jobs get heavier as the business grows

When you’re small, you hold the business together with memory and speed. You remember every customer, problems get fixed on the spot, and jobs move because you touch all of them. Then the work grows. Quotes sit for days, staff wait on you for answers, customers ring to ask what’s happening and invoices go out late.

I started Smartfix in 2018 with one ute and a set of tools in my garage. Back then the job flow was me. Smartfix has now looked after more than 30,000 Perth families, and that only works because every job moves through the same steps, whoever is on it.

  • Step 1. Score 15 checks. About ten minutes, across the five stages.
  • Step 2. Find your slowest stage. Your highest score shows where jobs are slowing down.
  • Step 3. Draw your job flow and pick one fix. One page, one change to start this week.

The Five Stages

Where trade businesses lose time

Every residential job moves through the same five stages. When one is loose, everything after it gets harder.

1

Enquiry

Calls go unanswered or details are half captured, so everything after it turns reactive.

2

Quote

Quotes wait for you to find time at night, and the customer keeps looking elsewhere.

3

Schedule

No clear handover between the office and the tradie, so jobs start without the full picture.

4

Completion

Photos, notes and variations aren’t captured on site, so admin drags and things slip.

5

Invoice

The work is done but the invoice gets pushed aside. This is where most cash flow pressure starts.

How long does it take?

About ten minutes to score the 15 checks. Think about your last ten jobs and score what actually happened on them.

Who is it for?

Residential trade businesses: electricians, plumbers, air con, handymen and anyone running jobs from enquiry to invoice. It’s most useful once you have a few people on the tools.

What should I do with my results?

Draw your job flow on one page, pick the stage that stalls most and write down how it should happen every time. Then score yourself again in 90 days.
